Unsecured Business Loan Documents: A Practical Checklist
Prepare the right records before you apply. This guide explains the common document groups, what changes by business type and how to handle genuine differences between GST, tax and bank records.
YOUR CORE FILE
Start with five document groups
These groups cover the common preparation. Exact papers depend on the lender, product, legal form and applicant profile.
1. Applicant and business identity
Keep accepted identity and address records ready for the proprietor and, where required, partners, directors, authorised signatories, beneficial owners or guarantors. Also prepare the business PAN and address proof. Names, addresses and dates should be consistent.
2. Constitution and registrations
Prepare the records that show how the business is formed and allowed to operate: proprietorship proof, partnership deed, LLP agreement or company incorporation and constitutional documents. Add GST, Udyam and trade or sector licences where they apply.
3. Tax and financial records
Common preparation includes income-tax returns with acknowledgements and computation, profit-and-loss statements, balance sheets and schedules. Some lenders ask for audited or CA-certified records. Confirm the exact period and format.
4. GST and sales records
Where GST applies, keep the registration and filed returns for the requested period. Retain month-wise sales workings and acknowledgements. GSTR-1 reports outward supplies; it is not simply a list of cash received.
5. Bank and existing-loan records
Prepare complete statements for every business account requested. Keep sanction letters or statements for current loans, overdrafts, cash-credit limits and other facilities where required. Do not hide an account or remove pages.
BUSINESS TYPE
What changes by legal form?
The lender decides which people and entities must provide records. A document requested for one legal form is not automatically required for another.
Sole proprietor
The owner and business are closely linked. The lender may review the proprietor's identity, tax return, business proof, banking and credit profile together.
Partnership or LLP
Prepare the deed or LLP agreement, registration records, partner details and authority to borrow. Selected partners may need to provide KYC, income information or guarantees.
Private limited company
Keep incorporation records, constitutional documents, director and shareholding details and the borrowing resolution ready where required. The company and relevant directors or guarantors may be checked separately.
CLEAR NUMBERS
Do GST, ITR and bank credits need to match exactly?
No. They measure different things. The figures should form a clear and supportable picture, but they do not have to be identical.
GST returns
GST returns report taxable and other outward supplies for a filing period. Credit notes, amendments, exports, exempt supplies and advance adjustments can affect the figures.
ITR and financial statements
Financial statements apply accounting treatment to revenue, expenses, assets and liabilities. Income-tax records apply the tax rules and filed computation. Turnover is not the same as profit.
Bank statements
Bank statements show when money moved. Credits can include customer receipts, own-account transfers, capital, borrowings, refunds or old invoice collections.
What to do with a difference
Prepare a period-by-period reconciliation. State the amount, timing, reason and supporting record. Never change a statement, return or ledger just to make totals look equal.
PRE-APPLICATION CHECK
A six-step file review
Use this sequence before submitting documents. It is a preparation method, not a lender scoring formula.
Use the same period
Compare the same financial year or months across GST, tax, financial and bank records. Mark monthly and quarterly filings correctly.
Collect final filed records
Use the latest filed or revised version. Keep acknowledgements with returns. Label provisional and audited statements clearly.
Classify bank credits
Separate customer collections from transfers, capital, borrowings, refunds, interest, asset sales and other non-operating credits.
Link invoices and collections
Use receivables or settlement reports to show why a sale and its payment fall in different periods.
Record genuine exceptions
A useful note states the amount, date or period, reason and evidence. Keep it short. Do not invent an explanation.
Get professional help for errors
If you find a filing or accounting mistake, use a chartered accountant or tax professional and the correct official correction process.
LABELLED ARITHMETIC
A simple reconciliation example
Assume GST-reported sales are ₹1.20 crore and all disclosed business accounts show ₹1.42 crore of credits. The credits include ₹10 lakh of own-account transfers, ₹6 lakh of capital and ₹4 lakh from a loan.
₹1.42 crore − ₹10 lakh − ₹6 lakh − ₹4 lakh = ₹1.22 crore of business receipts. The remaining ₹2 lakh is linked to earlier invoices. This example does not prove eligibility or approval.
BEYOND THE LIST
What lenders may also check
- Business age, sales and cash-flow pattern
- Profit, losses and net worth
- Existing EMIs and credit facilities
- Repayment history and recent credit enquiries
- Purpose, requested amount and product rules
SAFE SHARING
Protect your business records online
- Confirm the bank or NBFC that will make the lending decision.
- Use a secure lender or authorised-platform upload route.
- Check the domain and privacy notice.
- Share only the records requested for the stated purpose.
- Never share passwords, OTPs or unrestricted account access.
- Keep copies of documents and consent records.
Quick Disburse's first enquiry route does not ask for bank statements, tax returns, passwords or OTPs.
COMMON QUESTIONS
Unsecured business loan document FAQs
Is GST registration compulsory for every unsecured business loan?
Not in every case. GST records may be requested where they apply to the business and product. Ask the lender what it accepts for your activity and tax status.
How many months of bank statements are required?
The period varies. Some lender pages publish six months for a product, while MSME checklists can request a different period or all relevant accounts. Use the chosen lender's current checklist.
How many years of ITR and financial statements are required?
There is no single period for every loan. Ask whether returns, computation, audited statements, provisional figures or other schedules are required.
Can a new business apply without several years of ITR?
Possibly, but the products and evidence depend on the lender. A new business may be asked for promoter records, registrations, contracts, projections, current banking or a business plan. Do not assume approval.
Can an unsecured business loan still require a personal guarantee?
It can. Unsecured means no asset is pledged as collateral. It does not mean there are no legal obligations, guarantees or checks. Read the sanction terms and agreement.
Will a GST, ITR or bank difference cause rejection?
Not automatically. A lender may ask what caused the difference and whether the explanation is supported. A real error may need professional correction. A clear note does not guarantee approval.
Should I apply to many lenders at once?
Shortlist suitable options first. Multiple applications can create repeated credit enquiries and do not fix a weak or incomplete file.
YOUR NEXT STEP
Build one clear file before you enquire
Put your records into five folders: identity, business, tax, financial and banking. Add a one-page index and list any genuine differences that need explanation.
Quick Disburse is a loan facilitator, not a lender. The lender decides approval, amount, rate, tenure, fees, security or guarantees and disbursement after its checks. An enquiry is not an approval or a loan application.
